This step describes how to set up leave for an employee.

You can set up leave data for an employee in fixed positions or in a window.

This step describes how to set up leave for an employee in fixed positions.

The difference between the procedure for setting up leave data in fixed positions and the procedure described in the step "Set up data in fixed positions" lies in the entries made in the fields Field and Wage type.

FIELD

Only fields from the following table can be specified here when setting up leave data for an employee:

  • VAC (Leave)
This table contains leave data for all employees.

The field names allowed from this table are listed under the table name in the "Allowed field names" overview.

Entries for leave in the Field field should be made according to the general procedure, i.e. you must first specify the table which contains the field, then a hyphen and finally the field name itself.

Example:
You want to print the existing leave entitlement. This is stored in field "ASP" in table "VAC". In this case you must make the following entry in the Field field:
VAC-ASP

Note on setting up the leave type text

If you want to print the text for a leave type you must enter "VAC-ART" as the field name and conversion "01" in the Conversion field. This causes the system to print out the text ("Standard leave") for the leave type instead of the key (e.g. "01").

WAGE TYPE

Specify the leave type to be printed or whether the total of all leave types is to be printed in this field. Also specify a period (e.g. current period) to which the leave aspect (e.g. existing leave entitlement) refers.

Your entry here must consist of four characters. These should be as follows:

1st character:

"Y" Year   (Leave aspect refers to whole year)
"P" Period   (Leave aspect refers to period)

2nd character:

"P" previous (Previous year or period)
"A" current (Current year or period)
"*" all (All years or periods)

3rd and 4th characters:

"Leave type", e.g. "01" for leave type "Standard leave"
or
"**" for the total of all leave types

Example:

You wish to print the total of all leave types for the current year. To do this you must make the following entries in the Wage type field:

YA**

EXAMPLE

You want to set up the employee's leave entitlement for the leave type "Standard leave" ("01") for the current year in line 16 starting at column 69 for form ZF01. The leave entitlement is only to be printed on the first page of the remuneration statement.

To do this you must make the following entries:

PType No Offs Lngth WType Field   Conv Rule Field offset
FP 16 069 10 YA01 VAC-ASP

The entry in the Wage type field specifies that data on leave type 01 is to be printed, referring to the current year. The actual data to be printed is specified in the Field field. In this example, the data in question is the existing leave entitlement (ASP), which is stored with all leave aspects in table VAC.

The default from the "Allowed field names" overview is selected as the output length. Page type FP means that the data is only to be printed on the first page of a remuneration statement.

ABBREVIATIONS USED

The following abbreviations were used in the above example:

PType Page type in form
No Line number in form
Offs Offset
Lngth Output length
WType Wage type
Field Field name
Conv Conversion
Rule Rule for form editing
Field offset Field offset for printout
