Many countries specify different trip expense reimbursement amounts for different trip areas in their business trip provisions. For these trip areas, different trip expense reimbursement rates for travel costs, lodging, and meals must be stored in the system.

HR Travel Management makes it possible to reproduce trip areas via trip countries, trip country groups, and trip regions.

  • Trip countries
can correspond with the geographical area of a country or a group of countries as a trip area.
Examples
  • The trip country DE (Germany), as a trip area, corresponds with the geographical area of the Federal Republic of Germany.

  • The trip country US (USA), as a trip area, corresponds with the geographical area of the United States of America.

  • Trip regions
can subdivide the geographical area of trip countries to represent smaller trip areas than a trip country.
Examples
  • The trip country USA can be subdivided into individual states via trip regions.

  • The capital of a trip country can be designated as a trip region and thus as a separate trip area.

  • Trip country groups
make it possible to group any trip areas that have already been defined into larger trip areas. This larger trip area must not necessarily represent a geographically connected area.
Examples
  • A geographically connected trip area would be, for example, the countries of South America.

  • A geographically disconnected trip area would be, for example, the member countries of the British Commonwealth.

  • All major cites of the USA, with more than 2 million inhabitants, are, for example, grouped in one trip country group.

In this Customizing activity, trip regions and trip country groups are defined.
Trip regions are defined via a 5-character alphanumeric key and trip country groups via a 3-character alphanumeric key.

It is not possible to define new trip countries in this Customizing activity. The trip countries, their technical keys, and the corresponding long names are copies of the country table, which is defined centrally in the system.

To create a Trip Region, proceed as follows:

  1. In the field Trip Country, choose a valid trip country.
The system enters the long name for the trip country in the following field.
  1. In the field Region, assign a region key.
  2. In the following field, assign a long name for this region key.

To define a Trip Country Group, proceed as follows:

  1. In the field Trip Country, assign a trip country group key.
The system will not supply a long name in the following field. Neither is it possible to assign a long name here.
  1. In the field Region, assign a region key, if required.
  2. In the following field, assign a name for the trip country group.
  3. Valid-from date and valid-to date must both be empty. If the fields are empty, the country/region is always valid and it can be used in every trip, irrespective of the trip date. If only the valid-from date is filled, the country/region can only be used if the trip start date is after or on the valid-from date. If only the valid-to date is filled, the country/region can only be used if the trip start date is before or on the valid-to date. If both are filled, the country/region can only be used if the trip start date is between the valid-to date and the valid-from date. Therefore, only the start date of the trip is ever used as a comparison value, meaning that only the start date of the trip determines whether the country/region is valid for the trip.
