Schema and field control combines the management of trip schemas with complete field control for dialogs in Travel Expenses.

Schema Management

Trip schemas enable you to simplify the process of entering travel expenses. Certain entry masks are available for each trip schema, and certain fields can be hidden or defaulted with predefined values.

All entry masks that you suppress for a given trip schema are grayed out in the overview tree to show that they are not active.

The activated entry masks appear in different ways depending on the trip entry scenario:

  • In the Travel Manager(TRIP): with buttons to expand and collapse the information in the same screen area
  • In the Travel Expenses Manager(PR05): as tab pages in the same screen area
  • In the Travel Calendar(PR02): as buttons that call up a new screen area

The standard system contains different trip schemas depending on the trip provision variant.

Some trip provision variants contain schemas for domestic and international trips, and some countries use only one trip schema. You can adapt these trip schemas to your requirements.

Caution: The standard system also contains the following trip schemas that you can adapt but not delete or copy:

  • Travel calendar (99)
  • Trip advances (VS)
  • Weekly report (SP)

If you want to create the trip country and trip region as default values in a trip schema, you must first perform the activity Define Trip Areas.

If you want to create the enterprise-specific trip type as default values in a trip schema, you must first perform the activity Define Enterprise-Specific Trip Types.

To hide or unhide an entry screen in a trip schema:

  1. Select a trip schema in the overview tree.
  2. Make your settings in the group box Entry Screens for.
When you hide an entry screen, its title is grayed out in the overview screen.

To copy an existing trip schema:

  1. Select a trip schema in the overview tree.
  2. Choose Copy Trip Schema.
A dialog box appears.
  1. Enter a key and a name for the new trip schema, and choose Continue.
The new trip schema appears in the overview tree.

Field Control

You can make different settings for different user groups in the trip schemas. Employees in the expense department, for example, see different fields than employees who enter their travel expense data themselves.

You can configure the input fields for entry transactions in the following ways:

  • Hide and unhide them
  • Make them required entry fields
  • Define default values

If you want field control to be user-specific or to depend on the employee's organizational assignment, you must have configured the feature TRVFD in the Customizing activity Set Up Variable Field Control via Feature TRVFD.

To change how individual fields are displayed in entry screens:

  1. Select a field in the overview tree.
  2. On the right-hand area of the screen, make the relevant settings.
You can hide or unhide the field or define a default value.
  1. Save your entries before going on to the next field.
In the overview tree, the field is blue rather than black.

To copy an existing user group:

  1. Select a user group in the overview tree, and choose Copy User Group.
A dialog box appears.
  1. Enter a name for the new user group and choose Continue.
The new user group appears in the overview tree.
