Define which text is shown in the output whenever specific data in a sales document is changed.

To highlight the changes that were made to a changed document, you can create texts that let business users or customers know what exactly has changed in their documents. In this configuration activity, you assign the text to specific data in a sales document (for example, the document header or the material number of the document item). In the output, the text that you created in the Define Output Texts configuration activity is shown whenever changes are made to the data that you define.

You have set up the Assign Output Types for Changed Documents and Define Output Texts configuration activities.

SAP delivers example combinations of texts and document data for the output of changed documents. You can use one or more of these examples or else assign your own texts to specific document data. Note that for any entry (for example, for a combination of a text and a specific sales document category), you must then also make the corresponding settings in the subsequent configuration activities.

Check to what extent you can use the examples. To assign other texts to specific document data, proceed as follows:

  1. Choose SALES_DOCUMENT as application object type.
  2. Choose the output type.
  3. Use the value help to indicate whether you want to assign a text to sales document header data, item data, schedule line data, or business partner data.
  4. If relevant, use the value help to narrow down the data to a specific field.
  5. Use the value help to choose the text that is shown in the output. You can see whether the text is set up as a placeholder or a group text.
  6. If relevant, use the value help to choose a text that you marked as group text in the Define Output Texts configuration activity. If business users change any part of the data you defined, the text is shown.
  7. To disable an existing text for a specific data combination, remove the values for the text ID and the group.

You want to show a text in the output that lets business users or customers know that a sales order was changed on header level. You create a new entry and choose SALES_DOCUMENT as application object type and ORDER_CONFIRMATION_CHANGEas output type. From the value help, you choose the entry for the sales document header data and leave the field column blank. From the value help, you choose the group text DOCHEADthat you created earlier in the Define Output Texts configuration activity. In the output of the changed sales order, the following text is shown: Document header was updated.

You also want to show that the material number was changed in a sales order item. You create a second entry and choose SALES_DOCUMENT as application object type and ORDER_CONFIRMATION_CHANGEas output type. From the value help, you choose the entry for the sales document item data and the entry for the material number. You choose the text ID MATNRthat you created earlier in the Define Output Texts configuration activity. In the output of the changed sales order, the following text is shown: Material was changed.
