Define the texts that are included in the output whenever data in a sales document changes.

To highlight the changes that were made to a changed document, you can create texts that let business users or customers know what exactly has changed in their documents. In this configuration activity, you enter the text you want to include in the output and specify when exactly the text is to be shown.

You have set up the Assign Output Types for Changed Documents configuration activity.

SAP delivers example texts for changed documents. You can use one or more of these examples or else create your own texts.

Check to what extent you can use the examples. To create your own texts, proceed as follows:

  1. Choose SALES_DOCUMENT as application object type.
  2. Choose a language. If you want to create a text that is used in more than one language, you must create one entry per language. For example, if your business users trigger the output of sales documents in English and German, you must create an entry for EN with a text in English and an entry for DE with a text in German.
  3. Enter a text ID. It must be unique for each text and consist of up to 10 characters.
  4. Enter an update indicator. If data is deleted from an existing sales document and you want to show a text saying that this data has been deleted, choose the corresponding value. Respective values exist for cases where new data is added (that is, inserted) or existing data is changed (that is, updated). You can also create a more generic text without letting users know whether data was deleted, inserted, or updated. In this case, leave the value blank and select the placeholder option.
  5. Enter the text you want to show in the document output.
  6. If you want to group changes and show a more generic text in addition, select the group indicator. You can, for example, create a text saying that an item has been changed, without indicating what exactly has changed.
  7. If you want to use a text you entered for a specific language (for example, English) as fallback for the output of a document in another language (for example, German) if there is no corresponding text for that language, set it as default language. Note that if you enter more than one text in any language for the same text ID, make sure to set only one text as the default text.
  8. If you want to use your text as a placeholder, select the corresponding option.

You want to let English-speaking business users or customers know that anything in a document header was changed. You choose SALES_DOCUMENT as application object type, choose EN as language, and enter the text ID DOCHEAD. You leave the update indicator blank to encompass all kinds of changes (deletions, changes, and additions). As the text you want to show in the output, you enter Document header was updated. You select the group indicator and save your entry.

You also want to let English-speaking business users or customers know that the material number in a document item was changed. You choose SALES_DOCUMENT as application object type, choose EN as language, and enter the text ID MATNR. As the text you want to show in the output, you enter Material was changed.

You also want to let English-speaking business users or customers know that the address of a business partner was changed. You choose SALES_DOCUMENT as application object type, choose EN as language, and enter the text ID PTNR-ADDR. As the text you want to show in the output, you enter Partner address was changed.

You also want to let English-speaking business users or customers know that the sales document item note was changed. You choose SALES_DOCUMENT as application object type, choose EN as language, and enter the text ID TX_I_TX02. As the text you want to show in the output, you enter Item sales note for customer has been deleted.
