In this activity, you can specify the maximum difference allowed between travel expenses or expense report and the related travel request or travel plan in the cost comparison, for each trip provision variant. You can use the following parameters to differentiate the maximum amounts:

  • Statutory and enterprise-specific trip type
  • Trip activity type
  • Trip country and trip reason
  • Statutory and enterprise-specific reimbursement group Meals/Accommodations

For each trip provision variant, you can decide how these control parameters influence the maximum amounts. If these control parameters are active, you have to define a maximum amount for every combination of all active control parameters.

In the Customizing activity Activate Cost Comparison, you specify whether the system compares the total cost of the expense report with the estimated total cost of the related travel request or the related travel plan.

The cost comparison is available in the following Travel Expenses/Expense Report applications:

  • Travel Expense Manager (transaction PR05) in SAP GUI
  • Expense Report in the Web Dynpro ABAP-based user interface (but not in the Express Expense Sheet)

The system performs the cost comparison automatically when the user saves the expense report. If the total costs in the expense report exceed the defined maximum value for the cost comparison, the user has to enter a reason.

In the Customizing activity Define Reasons for Cost Comparison of Travel Expenses, you can define default values for the reason.

You activated the cost comparison in the Customizing activity Activate Cost Comparison.

The cost comparison is not active.
