In this step you can define the prices per unit for various fuel types; for example, the price per liter for diesel fuel. These prices are defined in Travel Expense Reports and Expense Reports in case receipts for fuel are missing.

Constraint: This Customizing activity applies only to travel expense reporting for the Czech Republic and Slovakia. In these countries the prices per unit for various types of fuel are fixed by law.

If a user selects the indicator Automatically Determine Fuel Price in when entering mileage in the Travel Expense Report or the Web Dynpro ABAP-based Expense Report, the system determines the price of fuel as follows and displays the results on the mileage entry screen:

  • The system determines the type of fuel for the user's vehicle and its average consumption using the personnel master data of the user in infotype Travel Privileges (IT 0017).
  • The system uses the entries you make in this Customizing activity to determine the fuel price per unit that is assigned to the type of fuel.

The following vehicle information is stored in the personnel master data of the user in infotype Travel Privileges (IT 0017):

  • Fuel type
  • Average consumption for vehicle

Recommendation

We recommend that you set the end date of the validity period for the entries to the date 12/31/9999 for the following reasons:

  • The end date can not be changed later on.
  • This way no constraints are imposed on setting time limits.

The common fuel types are defined in the standard SAP system.

Create the fuel types and enter their prices per unit.

To set a time limit for an existing entry, proceed as follows:

  • Select the relevant entry in the overview screen.
  • Choose Goto -> Detail.
The detail screen appears.
  • Choose Edit -> Delimit Validity.
  • In the Valid From field, enter the new validity date.
  • Choose Continue.
  • Review the prices and make any necessary adjustments.
  • Save the entry.
