Portugal: Record number ranges and series identifiers used in sequential numbering for digital signature of outbound delivery documents

As per the law, you are required to ensure that:

  • Your system digitally signs all outbound deliveries created for Portuguese sales organizations in Sales and Distribution (SD) and passed on to Financial Accounting (FI).
  • You communicate the number range number and the series identifier used in document numbering of the invoices, deliveries, etc., to the tax authorities.

In this customizing activity, you indicate which number range intervals and series identifiers that are used for outbound delivery types need digital signatures and when the digital signature process should begin. The system then ensures that outbound deliveries within these number range intervals are signed digitally.

To fulfil the legal requirements about the format of the signature, the system uses the entries that you make here for the leading document type and the series to create an invoice number. This invoice number is part of the input for the digital signature.

Note

  • As per the law, all documents that are issued to the customers except receipts must be digitally signed.

  • As of January 1, 2022, as per law, the ATCUD must be printed on the respective document including the QR code and reported in eInvoices and SAF-T (PT) file. ATCUD is the combination of validation code associated with the series identifier and the document number.

  • You must activate digital signature generation for all number range intervals used for Portuguese company codes.
  • You must ensure that each combination of leading document type and series identifier is unique within the company code.
  • You must enter a leading document type and series identifier for each number range interval specified in the customizing activity, regardless of whether digital signature generation is activated for the number range interval.
  • To create SD Delivery documents with the ATCUD code, you must create series code adhering to the below naming conventions:
  • Series identifier must have four characters and must start with “D”.

  • To ensure uniqueness of series, it is recommended that the second and third characters of the series code are extracted from the number range number.

Note

Exception would be for entries with number range containing non-alphanumeric special characters (Example: “1@”).

Allowed characters for series identifier are: [A-Z], [a-z], [0-9], [._-]; Separators cannot be used at the beginning or end and there cannot be 2 or more consecutive separators.

  • Enter the SAFT Document Type classification for the delivery type choosing one from following list:
  • GR Delivery document

  • GT Transport document

  • GA Transport document for own fixed assets

  • GC Consignment slip

  • GD Return delivery document

Note

Only number ranges that fulfill these requirements can be sent to the authorities to request the validation code for the ATCUD. The series must be unique within the company code.

  1. You obtain and upload a PSE file for each production system from SAP that contains SAP's private encryption key.
  2. In this customizing activity, for the Portuguese company codes:
    1. Enter all the number range intervals that you use for all outbound delivery types created in SD.
    2. Enter the unique series code that you use in the document.
    3. Mark the number range intervals that are relevant for digital signatures, that is, the documents that are numbered within this number range interval must be signed digitally.
    4. Assign a leading document type and a series identifier to each number range interval and indicate the company code for which the interval is used.
    5. Enter a starting date and time to activate the digital signature generation. Only outbound deliveries numbered after the starting date/time are digitally signed.
