Before you get started, familiarize yourself with these five key concepts within the SAP S/4HANA for statutory reporting:

  • Report category
A report category groups versions of a report, which are technically specified with the help of report definitions. The term "report" is used here in an abstract way. The system uses the report category to help you to create concrete reports for a specific period and specific company codes. For example, VAT Returns for the United Kingdom is one report category, the EC Sales List for the United Kingdom is another. For each of these report categories, the government may issue new versions over time to react to changes in legislation.
You can create independent report categories using the Define Statutory Reportsapp. You must assign country/region, phases, and organizational unit to a report category. You also assign activities to the report category. A report definition is then assigned to the reporting activity.
  • Report definition
    A report definition describes the exact format in which the report is to be created (for instance, which tax balances to report under which element names in an XML structure). Report definitions are identified by a report ID. Report definitions are repository content provided by SAP. However, you can create your own report definitions using the Define Statutory Reportsapp. Report definitions are assigned to report activities while creating report categories in the Define Statutory Reportsapp.

  • Reporting entity
A reporting entity is the legal entity within your organization that is obliged to submit certain statutory reports. A reporting entity can comprise of one or more organizational units. The organizational units can be business place, business area, company code, section code, and tax jurisdiction. One organizational unit in the reporting entity must be marked as the leading organizational unit.
The assignment of the organizational unit to the reporting entity is time-dependent. If there is an organizational change that must only be considered as of a certain point in time, a new set of organizational codes must be assigned with the respective valid-from date.
SAP provides sample content for reporting entities. You can adapt this content to your own needs in the following Customizing activity or create content of your own.
Note: Business area is only applicable for On-Premise versions.
  • Reporting Activity
Reporting activities are steps that need to be performed to complete the end-to-end statutory reporting process. Activities denote certain mandatory transactions to be performed by the system, before submitting your tax reports to the government. In the Define Statutory Reportsapp, you can create new reporting activities. You assign activities to your report category, based on your legal reporting requirements. You assign a report definition to the reporting activity.
  • Phases
    A phase is used to identify the type of report run that is generated. A report run can be of type - declaration, correction, and additional correction. When you generate a report run, by default, the report run type is declaration. Based on the country/region-specific requirements, you can generate a correction report, or additional correction report for the documents from the previous submissions or for the documents that may have been omitted from the previous submissions or runs. When you generate a correction report, the report run type is set as correction. You can display the documents omitted from the previous submissions using the Analyze Data feature.
