This Customizing activity gives an overview of the settings that need to be made if you want to operate Enterprise Content Management (ECM) for Records Management (RM).

ECM supports a document content handling for records and cases in the desktop-based Windows Explorer via SAP NetWeaver Portal Drive:

  • Hierarchical structuring of RM records and cases are represented in a Windows Explorer folder hierachy
  • Displaying RM documents and document attributes
  • Editing of RM documents
  • Creation of RM documents based on predefined element types

Backend application Records Management is configured.

The following steps are necessary settings to support ECM for Records Management:

  1. Local installation of WebDAV client
Install the SAP NetWeaver Portal Drive from the SAP Service Marketplace (service.sap.com) on your local workplace. In the Portal Drive settings under Service Properties, assign a Service URL to access the Records Management repository as follows:

For example: http(s)://:/sap/bc/ecm/dav/rm/S_AREA_RMS/S_RMS_DEMO .
Observe the case. Link is case sensitive.
The following Portal Drive settings are recommended to ensure a timely document update:
  • Under Service Properties, set the Sharing Level to Heavy.

  • Under Cache Settings, define the lowest cache size of 8MB.

  1. The Service Provider Interface (SPI) supports data exchange between ECM and the Records Mangement repository. This connection is delivered in the BAdI-Implementation EI_NWECM_CONNECTOR_RM_IMPL of the BAdI BADI_NWECM_CONNECTOR.
Check these settings and adjust them if necessary.
  1. Define the area key and the RMS keys for the RM area and RMS IDs you are using in Records Management in the Customizing activities

  1. Adjustment of RM object naming for Windows Explorer
The RM object names of records, cases and documents that are displayed as folder names and document names in Windows Explorer need to adjusted according to Windows naming conventions. This naming adjustment is implemented and delivered in the class CL_SRM_ECM_HIER_UTILS_FB.
Please check this default implementation. You can adjust the settings according to your requirements with the BAdI: Constrain Node Naming.
  1. Attribute adjustment of RM documents created in Windows
RM documents that are created in Windows Explorer do not include the creation of mandatory RM document attributes apart from the unique ID, which is automatically generated by a generation rule. This attribute creation is implemented and delivered in the class CL_BADI_ECM_SRM_ATTR_FALLBACK.
Please check this default implementation. You can adjust the settings according to your requirements with the BAdI: Setting of RM Attributes.
  1. Optional: Define role-based views for SAP NetWeaver Portal Drive
Choose the Customizing activity Create or Change Role-Based View for creation of role-based views to support the access and view for different kinds of Records Management data for diverse users in the Portal Drive.
