TMC_0086 - Make Settings for Analysis Periods

In this Customizing activity, you create analysis periods that the system uses to determine the performance values and potential values for an employee.

The analysis periods correspond to the frequency with which you assess the performance and potential of your employees. If you only conduct performance assessments and potential assessments once a year, create only one analysis period. If you conduct performance assessments and potential assessments more than once a year, create the corresponding number of analysis periods and combine them in a group of analysis periods.

For the analysis periods, you make the following settings:

  • Validity of settings
  • Start date and end date of the analysis period
  • Key date for which the performance value is read
  • Key date for which the potential value is read
  • Details on the calendar year in which the key date for the potential value is compared with the calendar year in which the analysis period starts

In the following case, the system also uses the analysis periods to determine the valid-from and valid-to date of records for the infotypes Performance (7409) and Potential (7408) that the system creates as a result of the calibration of talents during talent review meetings:

  • In Customizing for Talent Management and Talent Development, under Talent Review Meeting -> Make Further Settings for Talent Review Meetings, you have specified that in your talent review meetings it should also be possible to discuss talents without a valid performance assessment and/or potential assessment.
  • You implement customer processes for performance assessments and potential assessments. Meaning, in Customizing for Talent Management and Talent Development, under Talent Assessment -> Define Process Periods and Groupings, there is no entry for the standard processes Performance Management (PMP) and Potential (POT).

In this case, we recommend that you create a customer analysis period or multiple analysis periods with key dates that are each at the end of the period.

In the Customizing activity Define Group of Analysis Periods to Be Used, you then state that you want to use your customer group of analysis periods instead of the standard group.

If you want to use the standard analysis periods, you do not need to make any settings.

The standard system comprises the following groups of analysis periods and analysis periods in the SAP namespace S*:

  • Group SAP_DEF with analysis period SAP_JTOD (January to December)
The following key dates are defined for this analysis period:
  • Performance: December 1 of previous year

  • Potential: January 1 of current year

  • Group SAP_PPP with analysis period SAP_MTOF (March to February)
The following key dates are defined for this analysis period:
  • Performance: December 1 of previous year

  • Potential: March 1 of current year

For customer period groups and analysis periods, use the customer namespace 0* to 9*, A* to R*, and T* to Z*.

Example 1: Annual Cycle for Performance and Potential Assessments

You create the group of analysis periods Z_YEAR with the following analysis period:

  • Z_PPYEAR
  • Start date: January 1

  • End date: December 31

  • Key date for performance: December 31 of previous year

  • Key date for potential: December 31 of current year

You implement customer processes for performance assessments and potential assessments. You conduct a talent review meeting on March 5, 2010. In the talent review meeting, you specify performance values and potential values for a talent for whom there was no valid performance assessment and potential assessment before the talent review meeting.

The system therefore creates the following infotype records:

  • Infotype Performance
  • Valid from: January 1, 2009

  • Valid to: December 31, 2009

  • Infotype Potential
  • Valid from: January 1, 2010

  • Valid to: December 31, 2010

The system first calculates the valid-to date, and from this the valid-from date of each infotype record:
Calculation of Valid-To Date
  • Valid-to date = key date of the current analysis period

  • Current analysis period = January 1 - December 31, 2010

  • Key date for performance = December 31 of the calendar year before the year in which the current analysis period starts

  • Key date for potential = December 31 of the calendar year in which the current analysis period starts

  • Calendar year in which the current analysis period starts = 2010

  • Valid-to date for performance = December 31, 2009

  • Valid-to date for potential = December 31, 2010

Calculation of Valid-From Date
  • Valid-from date = key date of the previous analysis period plus 1 day

  • Current analysis period = January 1 - December 31, 2010

  • Previous analysis period = January 1 - December 31, 2009

  • Key date for performance = December 31 of the calendar year before the year in which the previous analysis period starts

  • Key date for potential = December 31 of the calendar year in which the previous analysis period starts

  • Calendar year in which the previous analysis period starts = 2009

  • Key date for performance = December 31, 2008

  • Key date for potential = December 31, 2009

  • Valid-from date for performance = key date plus 1 day = January 1, 2009

  • Valid-from date for potential = key date plus 1 day = January 1, 2010

Example 2: Annual Frequency for Performance Assessments, Semiannual Frequency for Potential Assessments

You create the group of analysis periods Z_HALFY with the following analysis periods:

  • Z_PPHALFY1
  • Start date: January 1

  • End date: June 30

  • Key date for performance: December 31 of previous year

  • Key date for potential: June 30 of current year

  • Z_PPHALFY2
  • Start date: July 1

  • End date: December 31

  • Key date for performance: December 31 of previous year

  • Key date for potential: December 31 of current year

You implement customer-specific processes for performance assessments and potential assessments. You conduct a talent review meeting on March 5, 2010. In the talent review meeting, you specify performance values and potential values for a talent for whom there was no valid performance assessment and potential assessment before the talent review meeting.

The system therefore creates the following infotype records:

  • Infotype Performance
  • Valid from: January 1, 2009

  • Valid to: December 31, 2009

  • Infotype Potential
  • Valid from: January 1, 2010

  • Valid to: June 30, 2010

The system first calculates the valid-to date, and from this the valid-from date of each infotype record:
Calculation of Valid-To Date
  • Valid-to date = key date of the current analysis period

  • Current analysis period = January 1 - June 30, 2010

  • Key date for performance = December 31 of the calendar year before the year in which the current analysis period starts

  • Key date for potential = June 30 of the calendar year in which the current analysis period starts

  • Calendar year in which the current analysis period starts = 2010

  • Valid-to date for performance = December 31, 2009

  • Valid-to date for potential = June 30, 2010

Calculation of Valid-From Date
  • Valid-from date = key date of the previous analysis period plus 1 day

  • Current analysis period = January 1 - June 30, 2010

  • Previous analysis period = July 1 - December 31, 2009

  • Key date for performance = December 31 of the calendar year before the year in which the previous analysis period starts

  • Key date for potential = December 31 of the calendar year in which the previous analysis period starts

  • Calendar year in which the previous analysis period starts = 2009

  • Key date for performance = December 31, 2008

  • Key date for potential = December 31, 2009

  • Valid-from date for performance = key date plus 1 day = January 1, 2009

  • Valid-from date for potential = key date plus 1 day = January 1, 2010

Caution
If, as is the case in example 2 for the infotype Performance, the system generates infotype records that extend over multiple analysis periods, you must specify the same key date for each of these analysis periods. Therefore, in example 2, the key date for performance for both analysis periods is defined as December 31 of the previous year.
