Enter lots and books of prenumbered documents.

You use this configuration step to enter lots and books of prenumbered documents. When you buy a new lot, you enter it in the system. You divide lots into books to make them more manageable.

For example, if you purchase an invoice lot but your sales department prints out invoices on two separate printers, you could split the lot between the two printers, in effect creating two books. You would record the books in the system accordingly.

  • Lot

You assign each lot a number of your own, an internal number. This is the number that you use within your business. You also record the lot's official number, as issued by the authorities. This is the number that you use in official correspondence.

For each lot, you also enter the official document numbers of all the forms that it contains. You can also specify which form type the forms in this lot belong to and the date that you purchased the lot on.

To make lots more manageable, you can divide them into books.

  • Book

You assign each book a number and name of your choice and you specify which forms are covered by the book. You can also specify whether the forms are to be used within a specific period of time (this is not generally the case), and a default printer, if you intend to use a specific printer for the book. Leave the Last. doc. iss. field blank: when you start to use the forms in this book, the system uses it to store the number of the last form that you have used.

It updates this number automatically each time you use a form.
