In this Customizing activity, you define change request step types and assign actions to them. You assign the change request step types to non-background workflow tasks where the step types determine the visibility of buttons and the associated actions on the UI. You can use the workflow builder to make these assignments for a non-rule-based workflow. You can use BRFplus to make the assignments for a rule-based workflow.

In all change request step types the following special actions are always implicitly available:

  • Save
The system executes all configured checks for the current change request step. The data is saved independently of the result of these checks, even if errors occur.
  • Check
The system executes all configured checks for the current change request step and displays the messages of these checks.

Note: The actions Saveand Checkdo not complete the current workflow work item.

We deliver the following standard change request step types:

The change request action defines whether checks need to be executed without error before the action can be performed. For more information, see the documentation of the Customizing activity Define Change Request Actions under Master Data Governance -> General Settings -> Process Modeling -> Workflow.

You can use this activity to create a new change request step type or edit an existing one. To create a new change request step type, use the following procedure:

1. Choose the New Entries pushbutton.

2. In the Step Type field, enter an ID.

3. In the Description field, enter a short description for your step type.

4. In the Window Title field, enter the title for the screen generated by the step.

To assign an action to a step type, use the following procedure:

1. Select a step type.

2. Choose the New Entries pushbutton.

3. Select an action.

4. Press Enter to confirm.

You can use the Customizing activity Define Actions for Change Request UIs to create new actions if required.

You have created the new change request actions required by your workflow using the Customizing activity Define Actions for Change Request UIs.

You want to create a change request step type that includes a new action to refer a change request to an expert. The step will also include the Approve and Reject actions. You enter the step type ID and the description Step with Expert Review. You enter Review Change Request as the window title. You save your work and go to the Assign Actions view. You then choose the New Entries pushbutton. You assign the Approve, Reject, and Refer to Expert actions to your new step type and save.

You have finished creating your new step type. If the assigned change request workflow has been extended to consider the additional change request step types and actions, it is ready for use.
