SAP E-Book

In this Customizing activity, you define the message types (sometimes referred to in the system as "output types") for use in Settlement Management.

In the SAP system, the message type is used to map various messages, such as a printout of a single document or a document list.

To define a message type, you must make the following entries:

  1. Message type
Alphanumeric key with up to 4 characters, which uniquely identify a message type.
  1. Access sequence
Key for the access sequence.
  1. Description
Text that describes the message type.
  1. Detailed data (only the most important detailed data is described here):
    1. Transmission medium
One-character, numerical key that defines the type of message processing (such as printout, sending by fax).
  1. Time
One-character, numerical key that defines the time of message processing (such as immediately when the document is saved or at the next selection run).
  1. Partner function
Partner function that defines the recipient.
  1. Condition access
Indicates that the message default for this message is to be determined via the condition technique.
  1. Print parameters
One-character, numerical key that determines that conditions used to define the print parameters (see step Assign Output Devices and Print Parameters).
  1. Archiving mode
This field controls whether a document is to be printed, archived or both.
  1. Document category
This field identifies the archived messages and determines whether they are single documents in Settlement Management, a document list in Settlement Management, and so on.

The values entered in the detailed data for transmission medium, time, and partner function are automatically used as default values when a message record is created for the message type.

Settlement Management has a number of different document categories, which enables you to differentiate between the documents created:

  • Supplier billing document
  • Settlement document
  • Customer settlement list
  • Supplier settlement list
  • Settlement document list from supplier billing documents
  • Settlement document list from settlement documents

The following entries are provided in the standard system:

  • WKAM: Header message of a supplier billing document with logistics data:
The invoicing party can be informed about supplier billing documents. Printer and fax are supported as transmission media. The standard system contains a form routine for replacing text symbols. This form routine also replaces variables that relate to the fields of table WBRK.
  • WKAO: Header message of a supplier billing document without logistics data:
The invoicing party can be informed about supplier billing documents. Printer and fax are supported as transmission media. The standard system contains a form routine for replacing text symbols. This form routine also replaces variables that relate to the fields of table WBRK.

To create a new message type, copy a similar, existing message type and make the necessary changes.

If you define your own message types, take account of the name space conventions.

  1. Check the extent to which you can use the standard message types and how much you would have to change these.
  2. Define your message types for Settlement Management.

This note only relates to documents of the category Settlement Document.

If you have a document of the category Settlement Document, settlement accounting is performed for both the payer and invoicing party. The message conditions that the system finds determine whether a printout is created for the payer or the invoicing party:

  • If the system finds a message condition for the payer, a printout is created for the payer.
  • If the system finds a message condition for the invoicing party, a printout is created for the invoicing party.

If you want to create printouts for the payer and the invoicing party, the system must find two message conditions (one for the payer, one for the invoicing party). To ensure this happens, create duplicates of the original message types and include the new message types in the relevant message determination schemas.
