Allows you to assign document types and origin keys to a document class.

You assign document types and origin keys to a document class you have created in configuration step Define Document Classes. These parameters are necessary so that the system can determine the document class of each document at runtime.

You have made the following configuration settings:

  • Defined document types in Define Document Types for Official Document Number Assignment
  • Created document classes in Define Document Classes

For one of the selectable countries, select the document class and assign the relevant origin keys and the document types.

You can use the wildcard (*) for entries in the fields Document Types and Origin Keys if you want to define a generic assignment rule for the assigment of a document class. For instance, if you want all document types or all origin keys to be assigned to one document class. You can also define exceptions to this rule by making an explicit document class assignment for one or for both fields. This is the case if you want that a specific document type or a specific origin key to be assigned to a different document class.

Note: You must be aware that in case you create both generic and explicit assignment rules, the value ranges of the document types or origin keys may overlap. In that case, the system always considers the more specific rule first and then the more generic one, independently of the order that the assignments have been entered in the system.

The example below demonstrates how you could create assignment rules using both generic and specific rules:

The combination logic used by the system to define the document class of your documents in this case is:

  • Document class IN0 is determined for all documents with document type IN and for all origin keys except a specific origin key (in this example 12).
  • Document class IN1 is determined for all documents with document type IN and origin key 12.
  • Document class DC1 is determined for all documents with any document type except a specific document type (in this example IN) and for documents with origin key 12.
  • Document class DC0 is determined for all combinations of document types and origin keys except the other combinations in the view (in this example the ones with document type IN or with origin key 12).

In case you want the system to use document number coming from an external application, check the Use Ext. check box.

In some countries, like in Portugal, it is legally required that invoices, debit memos and credit memos use different number ranges. As an additional differentiation parameter, you can differentiate documents with a positive total amount (usually invoices and debit memos) from documents with a negative total amount (usually credit memos) by assigning them to different document classes. You specify this rule by maintaining the fields DocCls Receiv. or DocCls CdtMemo.

Additionally, you can also define rules for the treatment of zero amounts in documents. For instance, you can define if the zero amounts should be treated as credit (-), debit (+) or should not be considered in the official document numbering (ODN) at all.

Note: Statistical items are considered for the total amount determination of the documents.
