In this Customizing activity, you define the derivation rules which are used by the corresponding derivation tool to determine the corresponding collections agency (also law enforcement authorities or dunning court) in Public Sector.

The derivation tool is called using the function module FMCA_COLLAG_SAMPLE_5060 when an item is released to the collections agency (individual release using transaction FP03E or mass release using FP03M). It determines the responsible collections agency from a range of source fields of the enhanced structure FMCACOLLAG in one or a number of derivation steps. The source fields come from business partner data, address data and data on open items. The collections agency and two temporary interim fields are available as target fields. They can make value assignments of a first derivation step for source fields of a following derivation step. The number of derivation steps corresponds to the number of derivation rules you have defined in Customizing of Contract Accounting.

In addition to the definition of derivation steps, you can use this IMG activity to test the derivation strategy defined by calling up the function Test F8).

Restrictions:

Amount fields cannot be used as source fields of a derivation rule. In order to implement amount-dependent rules, you define a condition in your derivation rules for this amount field.

The length of all source fields of a derivation rule must be under 127 characters. Only use text fields such as city or street for special cases. You can use multiple-level derivation rules if necessary and use one of the temporary interim results for this.

The prerequisite for this activity is that collections agencies are defined.

You can, for example, decide in the first derivation step whether the receivable is public law or private law using the document data. This information can be saved in a temporary interim result. The responsible collections agency can then be determined from this temporary interim result and from the address data of the business partner (for example country key and postal code) in a second derivation step.

This two-step procedure has the advantage over a one-level derivation because the characteristic for determining the type of receivable and the address data of the business partner enters the assignment for the collections agency in an additive way (m+ n) not (m*n) which reduces the amount of maintenance for these derivation rules.
