In this Customizing activity, you assign a budget structure and derive account assignment budget addresses for an FM area/fiscal year.

Cross-Version Settings

On the Cross-Version Settings screen, you define which settings should be valid for all budget versions in your FM area/fiscal year:

  • By selecting the Check posting address indicator, you specify that postings are only allowed on budget addresses defined for the FM area/fiscal year. The following options are available to you here:
  • Check posting address list only

Only FM account assignments that were explicitly defined as posting addresses can be used for posting. You define posting addresses on the SAP Easy Access screen, by choosing Public Sector Management -> Funds Management -> Master Data -> Use of Account Assignment Elements -> Budget Control System (BCS) -> Posting Address -> Individual Processing or Mass Processing.
  • Check derived budget address only

Only FM account assignments whose derived budget address is a valid budget address can be used for posting.
  • Check both addresses (posting and derived budget addresses)

Only FM account assignments whose derived budget address is a valid budget address and which were explicitly defined as posting addresses can be used for posting.
  • Do not check account assignments

All FM account assignments can be used for posting unless you forbid them in the validation of the Business Add-In Validate Budgeting and Posting Addresses in Budget Structure.
Note: Even if you do not select this indicator, the system creates posting addresses with the assigned budget addresses automatically, and stores them in the budget structure index table during the posting of actuals or commitments in FM. This is because there must be an assignment between posting addresses and budget addresses for reporting, RIB, fiscal year change activities and availability control (AVC). The entries created automatically are displayed in the transactions for posting address maintenance.
  • When you assign a budget structure, you specify which budget addresses can be used.
Note that the check on defined budget addresses only takes place when the Check Budget Addresses indicator is selected in the status maintenance. You define this setting in the Funds Management menu, under Budgeting -> Budget Control System (BCS) -> Version -> Assign Status of a Version.
  • By entering a derivation strategy, you define the valid assignment of posting addresses to budget addresses.

Override Cross-Version Settings

In the Version-Specific Settings section, you can override the cross-version settings for individual budget versions by defining different settings:

  • By entering a different budget structure, you can assign different budget addresses for a budget version. You activate the check on these budget addresses at the same time as the cross-version settings in the Version Status Maintenance.
  • You activate or deactivate the derivation strategy defined in the cross-version setting using the Use Strategy indicator.

Override Multi-Ledger Settings

In the section Ledger-Specific Settings, you can override the general settings for specific ledgers by defining different settings.

If you want to work with a budget structure in your FM area/fiscal year, define the required settings here.

If you want to work without a budget structure, you do not need to define any settings here.

Two separate ledgers are updated under specific update profiles (for example, 000359), whereas only one of them is used for the availability control. We recommend that you deactivate the check on the posting address at the level of level-dependent settings and, if there is no budget for the affected ledger, the automatic update of the index for the budget structure.

Note

You can only assign a multi-level budget structure if you have activated these for your FM area. This also applies to the settings at version level.
